24/7 Intake & Dispatch Backup for Miami / South Florida restoration companies

An overflow and after-hours intake layer for independent water-damage restoration companies — not a promise to replace your front desk. Built and validated separately for Miami / South Florida; nothing here is borrowed from another market.

In Validation

Being privately validated with real prospects. Not proven yet.

This page targets independently controlled water-damage restoration operators serving Miami, Doral, Hialeah, Kendall, Homestead with a verifiably reachable decision maker — not every business, and not franchise or national-chain locations without confirmed local purchasing authority.

The problem

After-hours and overflow calls in restoration are disproportionately high-value and disproportionately likely to be missed — voicemail, no answer, or an inconsistent manual process. Every missed call is a job that may go to whoever answers first.

What it does

  • Answers approved factual questions about hours, service area, and process.
  • Captures loss type, timing, safe-contact preference, and whether a claim is already open — never a policy number.
  • Escalates emergencies and human requests to your on-call roster immediately.
  • Writes every interaction to your existing CRM or inbox with full context.
  • Triggers a follow-up confirmation and internal task automatically.

Safeguards

The agent always identifies itself as an automated assistant for the named restoration company — never as a human, an insurer, an adjuster, or 911.
Any caller who asks for a person is offered a transfer or callback immediately, with no further questions asked first.
Immediate life-safety situations are redirected to call 911; the agent never tells a caller not to.
The agent captures caller-reported facts only — it never interprets coverage, tells someone to file a claim, negotiates, or estimates a settlement.
Recording/transcription consent is requested before it happens, with an unrecorded path always available.
If the phone system, CRM, or on-call transfer is unavailable, the system fails over to a logged voicemail/SMS alert — nothing is silently dropped.

Florida generally requires all-party consent before a call is recorded or transcribed. The system announces this and offers an unrecorded path if consent isn't given. Spanish-language routing is only enabled for a client that can staff it — it's a measured configuration option, not a default assumption.

Launch steps

  1. Discovery call

Confirm service area, on-call roster, current after-hours handling, and CRM/inbox destination.

  2. Approved intake tree

The client approves the exact questions, emergency criteria, and escalation rules in writing before anything goes live.

  3. Sandbox test pass

Scripted golden, emergency, human-request, and outage scenarios run against a test number before any real call touches it.

  4. Limited pilot

A bounded pilot window with monitored usage, a written end date, and a stated post-pilot price.

  5. Weekly reporting

Usage, outcomes, and defects are reviewed with the client weekly during the first month.

Provisional pricing

$3,000 setup + $1,000/month

Includes a written usage allowance; overage stated separately. This is a hypothesis being validated, not a rate card — see /readiness.

Paid pilot alternative

$1,500 / 30 days

Credited toward the full implementation if you convert. Access, success criteria, end date, and post-pilot price are all written in advance — no performance guarantee.

Miami-Dade publishes a May 15–October 15 rainy season and a June 1–November 30 hurricane season with its own flood-preparedness infrastructure. That is preparation context for dispatch resilience, not a demand estimate — see the county's Weather Ready program. Preparation work for Miami / South Florida can run in parallel with the other market, but validation evidence — decision-maker conversations, held demos, paid pilots — is tracked and reported for Miami / South Florida alone.
